Most rental and equipment-buying surprises come from fees nobody asked about: delivery, damage waivers, fuel, overtime hours and cleaning. Take these questions to every party rental company you call, write the answers down side by side, and get the important ones on the contract.
When to reserve: usually 2–8 weeks ahead (months for peak weekends).
The Questions
- What do delivery, setup, takedown and pickup cost?
- Is there a damage waiver, and what does it cover?
- Do we need to rinse dishes or bag linens before pickup?
- Does the tent need a permit, stakes or weights, sidewalls or heaters?
- Can you do a site visit?
- When can we change quantities, and what is the deposit and cancellation policy?
- Are bounce houses staffed, anchored and insured?
Tips
- Tents over a certain size often need a fire-marshal permit; your rental company usually knows the local rule.
- Book weekends in May–October early.
- Ask what your venue already includes before renting.
Before You Sign
- Check the start and end dates and times, the exact model and attachments, and the total price.
- Read the damage, loss and late-return terms.
- Photograph the equipment at delivery and return.
- Pay by credit card where possible, and keep the signed contract.
